Look, we get it - nobody actually enjoys reading privacy policies. But since you're staying with us out here in the wilderness, we figured you'd want to know how we handle your info. We've tried to keep this straightforward and honest, just like everything else we do at Obsidral Frontier.

When you book a room or sign up for one of our mountain expeditions, we're gonna need some basics from you. Nothing weird, just the standard stuff:

  • Your name and contact details (email, phone number)
  • Billing and payment info for reservations
  • Dietary preferences and restrictions - super important for our dining experiences
  • Emergency contact information (we're out in the backcountry, after all)
  • Physical fitness levels and medical conditions relevant to adventure activities
  • Preferences for room types, spa treatments, and wilderness tours

We also collect technical stuff when you browse our website - IP addresses, browser types, that sort of thing. It helps us make the site work better and keeps it secure.

Here's the deal - we use your information to make your stay absolutely incredible:

  • Processing your bookings and handling payments securely
  • Communicating with you about reservations, changes, and confirmations
  • Tailoring your wilderness experience based on your preferences
  • Sending you relevant updates about seasonal activities and special offers (only if you've said it's cool)
  • Ensuring your safety during guided expeditions and wildlife tours
  • Improving our services based on feedback and usage patterns
  • Meeting legal requirements and protecting against fraud

We're not in the business of spamming you or selling your details to random companies. That's not our style.

Yeah, we use cookies - the digital kind, not the fresh-baked ones from our kitchen (though those are available at breakfast).

These little files help us remember your preferences, keep you logged in, and understand how people use our site. We use:

  • Essential cookies: Can't run the website properly without these
  • Performance cookies: Help us see what's working and what needs fixing
  • Functional cookies: Remember your settings and preferences
  • Marketing cookies: Show you relevant content (you can disable these)

You can adjust your cookie preferences through your browser settings anytime. Just keep in mind that blocking certain cookies might affect how the site functions.

Security's a big deal to us - both out on the trails and online. We've implemented industry-standard measures to keep your data safe:

  • SSL encryption for all data transmitted through our website
  • Secure payment processing through certified third-party providers
  • Regular security audits and software updates
  • Restricted access to personal information (only staff who need it get it)
  • Secure physical and digital storage systems
  • Employee training on data protection and privacy

That said, no system is 100% bulletproof. We do our absolute best, but if something does happen, we'll let you know right away and work to fix it.

We're pretty protective of your data, but there are times we need to share it:

  • Service providers: Payment processors, booking systems, email services - the folks who help us run things smoothly
  • Business partners: Local tour operators and activity providers when you book adventures through us
  • Legal requirements: If the law says we have to, or if there's a safety issue
  • Emergency services: In case of medical emergencies during wilderness activities

We make sure anyone who handles your data follows strict privacy standards. We don't sell your information to marketers or third parties - period.

If our business ever gets sold or merged with another company, your data would transfer to the new owners, but they'd have to stick to this privacy policy.

It's your data, so you've got rights. Here in Canada, and especially under privacy laws, you can:

  • Access: Request a copy of the personal info we have on you
  • Correct: Update or fix any inaccurate information
  • Delete: Ask us to remove your data (with some exceptions)
  • Object: Say no to certain types of data processing
  • Restrict: Limit how we use your information
  • Portability: Get your data in a format you can take elsewhere
  • Opt-out: Unsubscribe from marketing emails anytime

To exercise any of these rights, just shoot us an email at reservations@obsidralfrontier.info or give us a call at (604) 555-0847. We'll get back to you within 30 days.

We don't keep your information forever - just as long as we need it for legitimate purposes.

Generally speaking:

  • Booking and payment records: 7 years (tax and accounting requirements)
  • Marketing preferences: Until you unsubscribe or ask us to delete them
  • Guest profiles and preferences: As long as you're an active customer, plus 3 years
  • Website analytics: Aggregated data kept indefinitely, personal identifiers removed after 26 months
  • Security footage and incident reports: 90 days unless needed for investigations

Once we don't need your data anymore, we securely delete or anonymize it so it can't be traced back to you.

Our website isn't designed for kids under 13, and we don't knowingly collect their personal information directly.

That said, families with children are totally welcome at the hotel! When parents or guardians book for minors, we'll collect necessary information (like dietary needs or emergency contacts), but we expect adults to provide this on behalf of their kids.

If we discover we've accidentally collected data from a child under 13 without parental consent, we'll delete it right away. If you think this has happened, please contact us immediately.

We're based in beautiful Whistler, BC, Canada, but some of our service providers might operate servers in other countries (primarily the US).

When your data crosses borders, we make sure it's protected by:

  • Using service providers that comply with international privacy frameworks
  • Implementing contractual safeguards that require strong data protection
  • Ensuring encryption during transmission and storage
  • Following Canadian privacy laws and regulations

By using our services, you're agreeing that your data might be processed outside Canada, but always with appropriate protections in place.

Things change - laws evolve, our services expand, and we might need to update this policy from time to time.

When we make significant changes, we'll let you know by:

  • Posting the updated policy on our website with a new "Last Updated" date
  • Sending an email to registered guests if the changes are major
  • Displaying a notification on our homepage for 30 days

We encourage you to check this page occasionally to stay informed. Continued use of our services after changes means you accept the updated policy.
